The key focus of the Administrative Assistant is to help support the staff of the Central Canadian District. Reporting to the Executive Manager, the Administrative Assistant executes their key focus through the following areas of responsibility:

Reception & General Administration

Support and Administration:

  • Reception:
    • Answer the phone and direct calls
    • Welcome guests and see to their needs and comfort
  • Purchasing and organizing of office and kitchen supplies
  • Ensure the proper distribution of email communications from the office@ inbox
  • Maintain accurate email communication lists
  • Assist with district mail outs including preparing courier packages
  • Coordinate with Maintenance department regarding facilities needs
  • Ensure cleanliness of common areas including the kitchen and meeting rooms
  • Assist with district event planning and on-site execution

Meeting Management:

  • Coordinate with groups or individuals who want to use the Ministry Centre facilities
  • Provide administrative support for meetings and training sessions:
    • coffee/tea service 
    • catering needs and reservations
    • set-up and clean-up of office space
    • preparing and printing documents

Database and File Management:

  • Collect correct data for input into database from communication with Workers, updates from Managers and DEXCOM meeting minutes and ensure that database is kept up-to-date
  • Provide reports for Directors or DEXCOM when needed
  • Ensure accurate and up-to-date church, personnel, finance and DEXCOM records

Travel and Scheduling:

  • Manage DMC calendar, ensuring it is up to date and accurate
  • Manage calendar of the District Superintendent:
    • Coordinate and schedule meetings
    • Confirm appointments
    • Follow up with agenda items
  • Arrange flights, hotels, car rentals and registrations as needed by District Superintendent and office staff 

Administer the licensing and ordination process:

  • Communicate with churches and applicants regarding the Licensing and Ordination process
  • Provide required documents to applicants, ensure all documentation is returned
  • Track progress and provide support to applicants and ordinands
  • Coordinate and facilitate interview days
  • Process post-interview documentation
  • Arrange exit interviews and process transfer of records

Other tasks as assigned by supervisor



  • Post-secondary education, preferably in either Office or Business Administration
  • Must have 3+ years experience in an administrative assistant role
  • Proven clerical skills and attention to detail
  • Proficient with Word, Excel, and PowerPoint, G Suite, and Adobe Pro, online-form creation and MailChimp experience an asset
  • Excellent organizational skills and time management
  • Demonstrated ability to work independently and within a team where flexibility, anticipating needs and taking initiative is essential
  • Friendly, approachable demeanour and a “can do” attitude
  • Commitment to maintaining a high level of confidentiality and exercising discretion
  • Well-developed verbal and written communication skills in English.
  • Positive approach to managing relationships and problem solving
  • Proven ability to work within a multicultural setting
  • Be able and willing to uphold the denominational Statement of Faith and Code of Conduct
  • Ontario Driver’s License and access to vehicle
